Your Nonprofit Uses AI. Where Did the Saved Time Go?

Survey after survey this year says the same thing. Most nonprofits now use AI in some form, but only a small share say it has actually expanded what their team can accomplish.

We hear the same story from the ministries we work with. The tools are there, the drafts come faster, and somehow the week feels just as full as it did before.

That gap is worth a closer look, especially in October, when year-end giving is about to ask everything of a small staff.

When an AI tool writes a first draft of the newsletter in ten minutes instead of an hour, that hour doesn't automatically go to donors or volunteers. It usually goes to the next email in the inbox. The work got faster, but the mission didn't get more of your attention.

So this week, try a short audit. Sit down with your team and list every place you use AI right now: drafting emails, summarizing meetings, writing social posts, cleaning up grant language, answering website questions.

Next to each one, answer two questions honestly. About how much time does this save us in a typical week? And what have we done with that time?

If the answer to the second question is "not sure," you're in good company. That's the point of asking.

Pick one relationship-shaped task the saved time will go to between now and December 31. A few ideas we've seen work well:

  • Personal thank-you calls to every first-time donor from this year
  • A handwritten note to volunteers who served through the summer
  • Fifteen minutes a day reading and replying to donor emails yourself
  • A real conversation with a lapsed monthly giver, not just another appeal

Put it on the calendar, with a name next to it. Time without an owner gets absorbed by the inbox.

The audit will probably surface a tool or two that costs money, adds a login, and saves almost nothing. That's good news. Cancelling it is a small act of stewardship, and it's one less thing to manage during the busiest giving season of the year.

Technology is at its best when it frees people to do the work only people can do. Donors don't remember how fast your appeal was drafted. They remember who called to say thank you.

If you'd like help finding where your website and donor tools could quietly save your team time, we'd love to talk.
