Renewal notices are starting to land in church inboxes for the fall. Alongside them, a quiet change: nearly every major church management platform now includes AI features by default — smart segments, drafted follow-up emails, attendance predictions, giving forecasts. Most staff we talk with are enjoying the time savings. Very few have asked where the data those features run on is going.
There is one question worth putting in writing to your vendor before you sign the next term:
"Is congregant data from our account — giving records, notes, prayer requests, attendance, counseling entries — used to train your own AI models or any third-party models you route through?"
The answer you want is a plain no, in writing, with a contract clause to match. Some vendors will give it without hesitation. Others will hedge — "anonymized," "aggregated," "improving our services." Those are not the same as no. Anonymized giving data can still be traced back to a household in a congregation of two hundred. Aggregated pastoral notes still started as one person's confession.
This is not a reason to fear the tools. It is a reason to know which ones treat your data as yours. The best vendors we work with in 2026 will name the underlying model, tell you whether prompts and outputs are retained, and offer a per-feature opt-out for anything that leaves their own servers. If your current vendor cannot answer plainly in a week, that is itself the answer.
A short internal note helps too. Whoever answers the phone at your church should know which fields are safe to type into an AI-assisted box and which are not. Sermon outlines and event descriptions, generally yes. Counseling notes, staff HR files, giving records tied to names — no, unless the contract says so.
Trust is the quiet asset of every ministry, and the software choices made this fall will either protect it or slowly spend it.
