GivingTuesday lands on December 1 this year. From where we sit in late August, that is fourteen weeks. Long enough to feel abstract, short enough that most ministries will still start too late.
The teams we watch move through the season without panic have one habit in common. They begin collecting stories in August, before the calendar hardens and inboxes fill. By the time the campaign copy is due, the raw material is already on the shelf.
What a story bank actually is
A story bank is not a polished library. It is a shared folder, or a single spreadsheet, where staff and volunteers drop small moments as they happen. A first name, a sentence of context, a two-minute phone video, a quote from a thank-you card, a photograph taken with permission. Nothing has to be finished. It only has to be captured.
Most ministries lose more stories to forgetting than to filtering. A visit that would have moved a donor to tears never becomes anything because no one wrote it down that week.
A rhythm that fits a small staff
We suggest one story a week between now and mid-November. That is roughly twelve entries, which is far more than any December campaign will use. Abundance is the point. When the writer sits down in November, choosing feels generous instead of desperate.
Assign the capture, not the polish. A volunteer coordinator, a case manager, a worship leader — whoever is closest to the moment — sends a short note or voice memo the same day. Someone else, later, decides what becomes an email, a Reel, a bulletin insert, a landing page.
Get consent while the moment is warm
Ask on the day, in person or with a short written note. Explain where the story might appear and offer the person a chance to review before it goes public. For families with children, get written permission from a parent and default to first names only. Faith-based work moves at the pace of trust, and a rushed release form has cost more ministries a story than any editing decision.
The quiet advantage
Fourteen weeks of small, honest capture will change what your GivingTuesday feels like. Instead of scrambling to write about your mission, you will be choosing which true moment to lead with. Donors can tell the difference.
If you would like help building a lightweight story-bank workflow into your existing website, giving platform, or newsletter, we would be glad to think it through with you. Reach out through our contact page and tell us a little about the season you are heading into.
